# Best Email Hosting for Small Business in 2026: Priced per User per Year

Google Workspace Business Starter is our top email hosting pick for most small teams.

It costs $84 per user per year on the annual plan, with 30 GB each and 99.9% promised uptime.

If your team lives in Word and Excel, pick Microsoft 365 Business Basic at the same $84 per user a year.

For one mailbox on a tight budget, Namecheap Private Email is $14.88 a year after a free first month.

Most email lists quote one “fromprice. That number hides the billing term, the monthly surcharge, and the rules for removing users or getting a refund.

So we priced every pick per user over a full year and read the cancellation terms before ranking anything.

Email is one of several business hosting decisions, and the [guides for running a business site](https://hostingguider.com/topics/hosting-for-business/) cover the rest, from backups to compliance.

## How we chose the best email hosting

We ranked email services on what a small business pays and risks over a full year, not on brand size or how many people use them.

- **Deliverability and spam controls:** support for SPF, DKIM, and DMARC, the DNS records that prove your mail is really from you, plus inbound spam and malware filtering.
- **Storage per user:** how much mail each person can keep before they have to delete or pay more.
- **Admin and security:** two-factor authentication (2FA, a second login step), single sign-on (SSO, one login for many apps), and a console to add or remove users.
- **Price per user over a year:** the annual and monthly rates, the billing term, and what happens at renewal.
- **Lock-in and migration:** whether you can import old mail, export it later, cancel without penalty, and get a refund.

Uptime promises and support hours also count, where the provider states them.

## 1. Google Workspace: best overall for most small teams

**Best for:** a team of 2 to 50 people who want shared email, calendars, and documents in one bill.

**Skip it if:** your staff expect desktop Office apps, or you need more than 30 GB each on the entry plan.

Business Starter costs [$7 per user a month on the annual plan, or $8.40 on the Flexible Plan](https://knowledge.workspace.google.com/admin/billing/compare-flexible-and-annual-fixed-term-payment-plans?utm_source=hostingguider.com).

![Google Workspace](https://hostingguider.com/wp-content/uploads/2026/10/google-workspace-1024x422.webp "Google Workspace")

Each user gets 30 GB of pooled storage, and the Business plans cap out at 300 users.

The [Google Workspace SLA](https://workspace.google.com/terms/sla.html?utm_source=hostingguider.com) promises 99.9% monthly uptime. If Google misses it, you get 3 to 15 days of service added, depending on how far it fell short.

That credit is extra service time, not a refund, and [how uptime guarantees pay out](https://hostingguider.com/blog/uptime-guarantee-what-it-means/) differs from one provider to the next.

For deliverability, admins turn on [DKIM signing](https://knowledge.workspace.google.com/admin/security/set-up-dkim?utm_source=hostingguider.com) in the Admin console.

Switching in is supported. Google’s [data import tool](https://knowledge.workspace.google.com/admin/migrate/about-the-new-data-migration-service?utm_source=hostingguider.com) pulls mail from Exchange Online, IMAP accounts, and Gmail.

The [14-day free trial](https://knowledge.workspace.google.com/admin/getting-started/about-your-google-workspace-free-trial?utm_source=hostingguider.com) covers up to 10 users. If you haven’t added billing by day 14, the account is suspended.

**Limitation:** the cheaper annual plan locks your seat count. You can only reduce licenses at renewal and must pay the full commitment if you cancel early.

Vault, for keeping and exporting mail, starts on Business Plus at $22 per user a month on the annual plan.

[Try Google Workspace](https://workspace.google.com/pricing?utm_source=hostingguider.com)

## 2. Microsoft 365 Business Basic: best for Microsoft Office users

**Best for:** teams that already share Word and Excel files and want Outlook and Teams under one admin.

**Skip it if:** you need the desktop Office apps but only want to pay for the entry plan.

[Business Basic](https://www.microsoft.com/en-us/microsoft-365/business/microsoft-365-business-basic?utm_source=hostingguider.com) costs $7 per user a month paid yearly, or $8.40 with a monthly subscription.

![Microsoft 365](https://hostingguider.com/wp-content/uploads/2026/10/microsoft-365-1024x392.webp "Microsoft 365")

It includes web and mobile Office apps, Teams, and 1 TB of OneDrive storage per user.

Each user gets 100 GB primary and 50 GB archive mailbox storage, which Microsoft’s [Exchange Online limits](https://learn.microsoft.com/en-us/office365/servicedescriptions/exchange-online-service-description/exchange-online-limits?utm_source=hostingguider.com) confirm. Sending caps at 10,000 recipients a day.

Microsoft lists multifactor authentication, single sign-on, and automatic spam and malware filtering on Business Basic.

[Business Premium](https://www.microsoft.com/en-us/microsoft-365/business/microsoft-365-business-premium?utm_source=hostingguider.com), at $22 per user a month paid yearly, adds Defender for Office 365 and Intune.

Microsoft documents several [mailbox migration paths](https://learn.microsoft.com/en-us/exchange/mailbox-migration/mailbox-migration?utm_source=hostingguider.com), including IMAP, Gmail, cutover, and staged moves.

Need only email? [Exchange Online Plan 1](https://www.microsoft.com/en-us/microsoft-365/exchange/compare-microsoft-exchange-online-plans?utm_source=hostingguider.com) costs $4 per user a month paid yearly, with 50 GB primary and 50 GB archive storage.

**Limitation:** desktop Office apps start on [Business Standard](https://www.microsoft.com/en-us/microsoft-365/business/microsoft-365-business-standard?utm_source=hostingguider.com) at $14 yearly or $16.80 monthly.

Microsoft’s one-month free trial converts to a paid subscription automatically, and you then get a seven-day window for a prorated refund.

[Try Microsoft 365](https://www.microsoft.com/en-us/microsoft-365/business/compare-all-microsoft-365-business-products?utm_source=hostingguider.com)

## 3. Zoho Mail: best free option for up to five users

**Best for:** a very small team that wants mail on its own domain and is happy to use Zoho’s web and mobile apps.

**Skip it if:** anyone needs Outlook, Apple Mail, or another desktop client on the free plan.

Zoho’s [Forever Free plan](https://www.zoho.com/mail/zohomail-pricing.html?utm_source=hostingguider.com) covers up to five users with 5 GB each and custom email for one domain.

![Zoho Mail](https://hostingguider.com/wp-content/uploads/2026/10/zoho-mail-1024x437.webp "Zoho Mail")

Paid Mail Lite adds a 99.9% uptime guarantee, 24/7 support, and an MFA app.

Zoho’s [business email page](https://www.zoho.com/mail/?utm_source=hostingguider.com) says SPF, DKIM, BIMI, and DMARC are built in.

It offers a free migration tool for Google Workspace, Microsoft 365, and IMAP mail, and data centers in the US, EU, India, and other regions.

**Limitation:** the free plan excludes IMAP, POP, and ActiveSync, so you can’t connect a desktop mail app.

Zoho bills its paid plans annually only, with no monthly option: Mail Lite (5 GB or 10 GB per user) and Mail Premium (50 GB plus 50 GB retention).

Zoho’s pricing page loads paid-plan prices with a script, so we couldn’t record the figures. We rank Zoho on its free plan, and paid prices show at checkout.

[Try Zoho Mail](https://www.zoho.com/mail/zohomail-pricing.html?utm_source=hostingguider.com)

## 4. Proton Workspace Standard: best privacy-focused option

**Best for:** consultants, legal or finance teams, and anyone who wants a provider built around end-to-end encryption.

**Skip it if:** you need the lowest price, or your clients mostly use Gmail and Outlook and won’t open password-protected messages.

Proton’s [Workspace Standard](https://proton.me/business/blog/proton-workspace?utm_source=hostingguider.com) costs $12.99 per user a month on annual billing or $14.99 monthly.

![Proton Workspace Standard](https://hostingguider.com/wp-content/uploads/2026/10/proton-workspace-standard-1024x443.webp "Proton Workspace Standard")

It bundles Mail, Calendar, Drive, VPN, Pass, and Meet, with 1 TB per user and up to 15 custom domains.

Proton lists end-to-end encryption, password-protected emails, a catch-all address, and SMTP access for other tools.

The [plans explainer](https://proton.me/support/proton-for-business?utm_source=hostingguider.com) also lists Mail Essentials, a mail and calendar plan with 15 GB and 10 addresses per user.

Its [Easy Switch import](https://proton.me/easyswitch?utm_source=hostingguider.com) moves mail, calendars, and contacts from Gmail, Outlook, Yahoo, and others.

Workspace Standard and Premium come with a 14-day free trial, and Proton lists a 30-day money-back guarantee.

**Limitation:** at $155.88 per user for year one, Proton costs almost twice Google’s entry plan. Mail Professional is now deprecated, so new buyers choose between Essentials and the Workspace plans.

Privacy features don’t settle legal duties on their own, so confirm your obligations with a qualified advisor.

[Try Proton Workspace Standard](https://proton.me/business/mail/pricing?utm_source=hostingguider.com)

## 5. Namecheap Private Email: best for solo users who pay yearly

**Best for:** a freelancer or one-person business that wants a professional address for under $15 a year.

**Skip it if:** you send newsletters or invoices in bulk from your mailbox.

[Private Email Launch](https://www.namecheap.com/hosting/email/?utm_source=hostingguider.com) is free for the first month, then $14.88 a year, with one mailbox, 5 GB, and 10 aliases.

![Namecheap](https://hostingguider.com/wp-content/uploads/2026/02/namecheap-hero.webp "Namecheap")

Expand costs $41.88 a year for three mailboxes with 10 GB each.

Every plan lists 2FA, Jellyfish anti-spam filtering, storage encryption, and IMAP, POP3, and SMTP access, so desktop and phone apps work.

The mailbox is billed apart from [Namecheap’s hosting plans and support](https://hostingguider.com/reviews/namecheap-hosting/), so you can keep it even if your site lives elsewhere.

**Limitation:** the [Private Email terms](https://www.namecheap.com/legal/hosting/netos/?utm_source=hostingguider.com) cap sending at 500 emails per hour per mailbox, 20 on a trial, and 50 recipients per message.

Refunds must be requested within [7 days of a charge](https://www.namecheap.com/support/knowledgebase/article.aspx/1186/2179/do-you-offer-money-back/?utm_source=hostingguider.com).

[Try Namecheap](https://hostingguider.com/recommend/namecheap)

## 6. Hostinger Business Email: lowest cost per mailbox on a four-year prepay

**Best for:** someone who already hosts with Hostinger and is sure the domain will be in use for four years.

**Skip it if:** you want to pay monthly or yearly, or might change providers within a year or two.

Hostinger’s [Business Email Starter](https://www.hostinger.com/business-email?utm_source=hostingguider.com) is $0.39 a month on a 48-month term, or $18.72 upfront. It renews at $1.59 a month and includes one mailbox, 5 GB, and five aliases.

![Hostinger](https://hostingguider.com/wp-content/uploads/2026/01/hostinger.webp "Hostinger")

Standard costs $0.99 a month on the same term and renews at $2.79, with 20 GB. Hostinger lists spam, virus, and phishing protection, migration help, and a 30-day money-back guarantee.

If your site already runs there, [Hostinger’s shared hosting record](https://hostingguider.com/reviews/hostinger/) explains the account that this mailbox would sit beside.

**Limitation:** the email page shows prices only for the 48-month term. Its [refund policy](https://www.hostinger.com/legal/refund-policy?utm_source=hostingguider.com) covers Hostinger Email, but Google Workspace bought through Hostinger and email storage add-ons aren’t refundable.

[Try Hostinger](https://hostingguider.com/recommend/hostinger)

## 7. IONOS Mail Business: best for a small team on a tiny budget

**Best for:** a shop or office with several staff who mainly send short messages and want everyone on one cheap plan.

**Skip it if:** anyone keeps years of attachments, since each mailbox holds only 2 GB.

[IONOS Mail Business](https://www.ionos.com/office-solutions/email-hosting?utm_source=hostingguider.com) costs $2 a month on a 3-year term, then $4.

That covers 25 accounts with 2 GB each and a free domain, so a full team pays $24 a year.

![IONOS](https://hostingguider.com/wp-content/uploads/2026/02/ionos-hero.webp "IONOS")

Mail Basic is $1.10 a month for one account, then $2. IONOS lists spam filtering, virus protection, block and allow lists, IMAP, and 24/7 support.

IONOS says every customer gets a free personal consultant, which suits owners comparing [IONOS hosting and support terms](https://hostingguider.com/reviews/ionos/) before adding email to the same account.

**Limitation:** 2 GB fills up fast. Mail Business Plus, with 50 GB mailboxes, is $3 a month on the 3-year term, and its renewal price wasn’t shown.

The email page doesn’t state a money-back guarantee or an uptime promise.

[Try IONOS](https://hostingguider.com/recommend/ionos)

## Fine print to check before you pay

The billing rules matter as much as the price, because they decide what leaving or shrinking your team costs.

- **Annual seat lock:** Google’s annual plan won’t let you drop users until renewal. Choose the Flexible Plan if staff come and go.
- **Short refund windows:** Microsoft gives seven days for a prorated refund, and Namecheap gives seven days after a charge.
- **Auto-converting trials:** Microsoft’s free month becomes a paid subscription, and Namecheap’s trial becomes a paid annual plan, unless you cancel.
- **Long prepays:** Hostinger and IONOS show their low prices only on 48-month and 3-year terms.
- **Sending caps:** budget mail plans limit hourly sends, which can block a large invoice run.
- **Data after cancellation:** Namecheap’s terms say it may delete your mail once a service ends, so export first.

Keep your domain at a registrar you control, so a mail switch only means changing DNS records. Splitting [the registrar from the web host](https://hostingguider.com/blog/domain-registrar-vs-web-host-separate/) works the same way for email.

A separate service costs more than host email but keeps mail running when your site has a problem.

Email Hosting vs Web Hosting covers whether email should live with your host at all.

## Other email services we considered

- **Fastmail:** Standard costs $5 per user per month billed yearly ($60 a year), or $6 monthly, with 60 GB per user. Professional costs $9 yearly or $10 monthly, with 150 GB and a retention archive.
- **Microsoft 365 Business Standard:** worth it only if staff need desktop Office, at $168 per user a year paid yearly.

Fastmail’s [US pricing page](https://www.fastmail.com/pricing/us/?utm_source=hostingguider.com) makes Standard cheaper than Google Workspace. It stays off the main list because Basic can’t use your own domain and Fastmail doesn’t refund unused subscription time.

## Which email hosting should you choose?

Match the pick to how your team works and how long you can commit.

**Most small teams:** Google Workspace Business Starter.

**Staff already use Word, Excel, and Outlook:** Microsoft 365 Business Basic, or Business Standard for desktop apps.

**Up to five people and $0 to spend:** Zoho Mail Forever Free, in the browser and mobile app.

**Client confidentiality comes first:** Proton Workspace Standard.

**One person, one address, paid yearly:** Namecheap Private Email Launch.

**Site already on Hostinger, four years ahead:** Hostinger Business Email.

**Several staff, light email, smallest bill:** IONOS Mail Business.

Email also ties into the wider list of [features a business host should include](https://hostingguider.com/blog/business-web-hosting-features/).

If you want site hosting and mailboxes on one bill, compare [business hosting plans with bundled mailboxes](https://hostingguider.com/best/best-business-hosting-solutions/).

## Frequently asked questions

### Which email service costs the least per user?

Zoho Mail Forever Free costs nothing for up to five users.

Among paid picks, Hostinger Starter is $18.72 for four years per mailbox, and IONOS Mail Business is $24 a year for 25 accounts.

### Is Google Workspace or Microsoft 365 cheaper for email?

They cost the same at entry level: $7 per user a month on yearly billing, or $8.40 monthly.

Microsoft’s email-only Exchange Online Plan 1 is cheaper at $4 a month paid yearly.

### Can I get free email with my own domain?

Yes, with limits. Zoho’s Forever Free plan covers one domain and up to five users, but only through its web and mobile apps.

Many web hosts also include mailboxes with hosting plans.

### How much email storage does each user need?

Start from your current mailbox size, which most mail apps show in account settings, and allow room to grow.

Heavy attachment users fit better in Microsoft 365’s 100 GB primary mailbox or Google Business Standard, which lists 2 TB of pooled storage per user.

### Can I switch email providers later?

Yes, if your domain is in your own registrar account. Google, Microsoft, Zoho, and Proton all offer import tools, and you finish by updating your domain’s MX records.

If your host holds the domain, [transferring the domain name first](https://hostingguider.com/guides/how-to-transfer-a-domain-name/) puts its DNS records in your hands.

### Why do emails from my domain go to spam?

Usually because SPF, DKIM, or DMARC records are missing or wrong.

Every paid pick here supports them, but adding SPF, DKIM, and DMARC records at your DNS host is your job after signing up.

## How we compared email hosting

We built this list from the providers’ own pricing pages, plan explainers, terms of service, refund policies, and admin documentation, all checked on October 4, 2026.

These rankings draw on published plans and terms, since HostingGuider has not bought these email services. Each price is shown with its billing term so you can repeat the math.

Picks follow the same [scoring rules behind every HostingGuider roundup](https://hostingguider.com/methodology/). Affiliate links exist only for Namecheap, Hostinger, and IONOS, and they didn’t change the order.
