Web hosting runs your website. Email hosting runs your mailboxes.

Many web hosting plans include mailboxes on the same account, which can work for a solo owner on a tight budget.

For a team, or for any business that can’t lose email when the website has trouble, a separate email service is usually the safer home.

If you go separate, Google Workspace and Microsoft 365 are the usual choices, and the better fit is mostly about which apps your team already uses.

Email is one of several hosting choices a small business makes.

What is the difference between email hosting and web hosting?

Web hosting stores and serves your website’s files, while email hosting stores, sends, and receives the messages for addresses like you@yourbusiness.com.

With hosted email, your mailboxes sit on the same hosting account as your website. You create them in the same control panel, such as cPanel or hPanel.

With a dedicated email service, a separate company runs your mail. Your domain’s MX records point to that company, and your website can live with any host.

An MX (mail exchanger) record is a DNS entry that tells the internet which server receives mail for your domain.

Your domain name is a third, separate piece. Some owners keep it apart from both, a choice explained in keeping your domain separate from your host.

What web hosts include, and for how long

Most shared hosts include some mailboxes, but the count, the free period, and whether email exists at all vary a lot by host and plan.

Hostinger Premium2 mailboxes per websiteFree for 1 year; we didn’t find the year-two price on the plan page

BluehostPro EmailOne-month free trial, then $2.99 a month
KinstaNoneNo email hosting listed on its pricing page

CloudwaysRackspace Email add-onFrom $1.50 per mailbox a month

Terms were checked on October 4, 2026, on Hostinger’s plan page, Namecheap’s shared plans, and SiteGround’s cloud plans.

The rest come from HostPapa’s plan page, IONOS’s web hosting page, and GoDaddy’s web hosting page.

Bluehost’s Pro Email terms are on the Bluehost pricing page, and Kinsta’s plans are on Kinsta’s pricing page.

Pressable’s email terms are on its email feature page. Cloudways lists its Rackspace email add-on separately.

The fine print that bites: “free email” often means free for the first year. Put the year-two price in your budget before you hand the address to customers.

Managed WordPress hosts often leave email out or charge for it. Kinsta lists no email hosting, which the Kinsta plan details also note, so mail needs a separate home.

Pressable bundles a trial, then bills per inbox, as the Pressable plan breakdown shows.

Host email vs a dedicated email service: the trade-offs

Host email costs less up front, while a dedicated service usually gives you more storage, more admin control, and mail that keeps working if your website goes down.

Deliverability

Deliverability means whether your messages land in the inbox instead of spam. On shared hosting, your mail often leaves from an IP other customers share.

Google’s Gmail sender guidelines warn that what other senders do on a shared IP “affects the reputation of all senders” using it.

Shared hosts also cap sending. HostGator’s mail policy, for example, allows 500 outgoing emails per hour on shared plans.

Spam filtering and storage

Dedicated services state their storage per user.

Microsoft’s Exchange Online plans list automatic spam and malware filtering on Plan 1, with 50 GB primary and 50 GB archive storage per user.

Host plan pages often don’t state mailbox size or spam filtering, so ask support.

Uptime independence

If your email lives on your web hosting account, a server outage or a suspended account can take both your site and your inbox offline at once.

Google’s Workspace service level agreement commits to at least 99.9% monthly uptime for Gmail and its other covered services.

Even 99.9% allows about 43 minutes of downtime in a 30-day month, a gap covered in the fine print of uptime guarantees.

Admin and security features

Dedicated services add tools for teams. Microsoft lists Defender for Office 365 and Intune device management on Business Premium, one of its higher tiers.

For a small team, the practical gain is simpler: one place to add users, remove them and reset passwords.

What dedicated email services cost

Google Workspace and Microsoft 365 cost the same at entry level: $7 per user a month on an annual plan, as of October 4, 2026.

Month-to-month, both cost $8.40 per user on Google’s Flexible Plan or Microsoft’s monthly subscription.

Google Workspace Business Starter gives each user 30 GB of pooled storage, according to its Business plans page.

Microsoft’s business plan comparison lists Business Basic with 100 GB primary and 50 GB archive storage per user.

Two cheaper routes exist. Exchange Online Plan 1 is email only at $4 per user a month, paid yearly.

The Zoho Mail pricing page lists a Forever Free plan for up to 5 users. Its paid Mail Lite and Mail Premium plans are billed annually only.

A separate roundup, Best Email Hosting for Small Business, ranks these email providers by yearly cost and fine print, such as refund windows and seat rules.

What happens to your email when you switch web hosts

If your mailboxes live on your web host, switching hosts means moving your email too, and cancelling the old plan first can delete your stored messages.

Host email lives in the old hosting account. Before you cancel it, recreate each mailbox at the new home, copy the messages across, then update your MX records.

After any DNS change, some senders still reach the old server for a while. The delay is explained by how DNS changes spread.

If your email is on a dedicated service, only the website moves.

Keep the MX and email records exactly as they are when you point your domain at the new host.

That is the main reason we lean toward a separate email service for businesses that may change hosts.

DNS records your email depends on

Four DNS records decide where your mail goes and whether other servers trust it: MX, SPF, DKIM, and DMARC.

  • MX: says which server receives your mail.
  • SPF: lists the servers allowed to send mail for your domain.
  • DKIM: adds a digital signature that proves a message wasn’t changed.
  • DMARC: tells receivers what to do with mail that fails those checks.

Gmail’s guidelines require SPF or DKIM from every sender, and SPF, DKIM, and DMARC from anyone sending more than 5,000 messages a day to Gmail accounts.

Setting up MX, SPF, DKIM, and DMARC step by step will get its own guide.

Where should your business email live? Four scenarios

Pick a home based on team size, how much email your site sends, and your industry’s rules.

Solo freelancer

Host email is usually fine if your plan includes it and you have one or two addresses. Check what it costs after year one.

If clients reach you mainly by email, a $4 to $7 a month service keeps your inbox up when the site is down.

5-person office

A dedicated service usually fits better. Each person gets a managed account, and you add or remove staff in one admin screen.

At $7 a user, five people cost $35 a month, or $420 a year, on Google’s or Microsoft’s annual entry plan.

Shop with order emails

Your store sends two kinds of email: staff mail and automatic order emails.

WordPress sends site emails through its built-in mail function. The wp_mail documentation says it defaults to PHP’s mail() function and can be switched to SMTP.

It also warns that a successful send “does not automatically mean that the user received the email successfully.” Order confirmations that land in spam become support tickets.

So a shop can put staff mail on Google Workspace or Microsoft 365 and still send order emails from the web server. Make sure your SPF record covers both senders.

What else a store needs from its host is covered in hosting requirements for online stores.

Regulated business

If you handle health, legal, or financial data, the contract matters as much as the inbox. Ask any provider whether it signs the agreement your rules require.

For health data in the US, that is a HIPAA business associate agreement (BAA).

HIPAA-Compliant Hosting explains what a HIPAA BAA covers. The broader rules are summarized in compliance rules that affect hosting.

Confirm your own obligations with a qualified advisor before you choose. A provider’s features cover some of the job; your settings and staff habits cover the rest.

For hosting plans that already bundle email with backups and support, compare small business plans that include email.

Frequently asked questions

Are email hosting and web hosting different services?

Yes. Web hosting serves your website, and email hosting handles your mailboxes. Many web plans bundle both on one account, but you can run them with different companies.

Can I use Google Workspace with my existing web host?

Yes. You keep your website where it is and point your domain’s MX records to Google. Remove or disable the host’s mailboxes so mail doesn’t split between two places.

Is the free email from my web host good enough?

For one or two addresses, often yes. Check how long it stays free, how much storage each mailbox gets and whether the host limits outgoing mail.

Does changing my MX records affect my website?

No. MX records only tell other servers where to deliver your mail.

Your website is reached through other DNS records, such as A or CNAME records, which stay as they are.

Can I use a free Gmail address for my business?

You can, but the address ends in @gmail.com instead of your own domain.

An address on your domain looks more established to customers. It also stays yours when you change email providers, as long as you control the domain.
